Privacy notice

We only collect what you give us in our forms and the minimum technical data needed to run the website:

• Job applications and profiles: first and last name, email address, phone number (optional), the country you live in, whether you have the right to live and work in Europe, your message, your CV or another attachment, and the vacancy you apply for.
• Contact requests: your name or company name, email address, message and an optional attachment.
• Staff requests from companies: company name, email address, the area of work and the roles you need.
• Technical data: your IP address and browser details, which our hosting provider processes to deliver the website, keep it secure and prevent abuse (for example, too many form submissions).

Please do not send us special categories of data (such as health information) unless a vacancy specifically requires it.

We use your data to:

• review your application or profile and contact you about suitable jobs (steps before a possible employment contract, Art. 6(1)(b) GDPR, and our legitimate interest in recruitment, Art. 6(1)(f));
• present your profile to a company that has an open role, only after we have agreed this with you (your consent, Art. 6(1)(a));
• answer your questions and handle staff requests from companies (Art. 6(1)(b) and (f));
• keep the website secure and working (legitimate interest, Art. 6(1)(f)).

We do not sell your data, do not use it for advertising and do not make automated decisions about you.

Your data is shared only when it is needed:

• with a company that is hiring, when you have agreed that we can present your profile for a specific role;
• with service providers who work for us under data processing agreements: Cloudflare (website hosting and security), our email provider (delivery of form submissions to our team) and the web analytics service described in our Cookie notice, which does not receive personal data.

Some providers may process data outside the EU/EEA. In that case the transfer is protected by the European Commission's standard contractual clauses or an adequacy decision.

We keep applications, profiles and CVs for up to 24 months after our last contact with you, so that we can offer you new roles, unless you ask us to delete them sooner. Company requests are kept as long as needed for the business relationship and legal obligations. Technical logs, including a backup copy of form submissions in case email delivery fails, are kept for a few days.

Under the GDPR you have the right to:

• access the personal data we hold about you and receive a copy;
• have incorrect data corrected;
• have your data deleted or its use restricted;
• receive your data in a portable format;
• object to processing based on our legitimate interests;
• withdraw your consent at any time, without affecting processing that took place before.

To use any of these rights, write to hello@arktis.group. We reply within one month. You also have the right to lodge a complaint with the data protection authority in the country where you live or work.
